Your SOPs, runbooks, specs and wiki pages describe how the company works, in its own words. Six of the companies we list take documents, more than any other kind of record. micro1 names “SOPs, knowledge bases, internal documentation, CRM data, project histories, and QA processes”.

Lived-in documents beat polished ones

A process doc with years of edits, comments and the decisions behind it shows how work changes over time. Keep the version history and comments where your tool exports them.

Notion: export the whole workspace

Notion exports pages as HTML or Markdown, and databases as CSV. Run a workspace export, not a page-by-page one.

If an account or content is deleted, Notion says it may be able to restore it within 30 days. Don’t count on more.

Confluence: take a site backup and download it

  • One at a time. Confluence stores only one backup file, so a new one replaces the last.
  • Download within 14 days. The download link lasts 14 days.
  • Databases don’t export. Confluence says it can’t currently export its databases, so copy those by hand.

After a subscription period ends, you can still reach the site for 15 more days. Atlassian then keeps the data for 60 days after a paid subscription is deactivated, and 15 days for a free one.

Google Drive: export with the domain

Google’s Data Export tool copies Drive along with the rest of the organization’s data. You need a super admin account at least 30 days old with 2-Step Verification on, and the files in Google’s default bucket are deleted 60 days after the export starts. A deleted user’s Drive can be restored for 20 days, then it’s gone. See the email page for the full Google steps.

What to take out

  • HR files, contracts and legal advice. Personnel records, signed agreements with confidentiality terms and anything from your lawyers.
  • Client deliverables. Work you made for a client may not be yours to license.
  • Secrets. Passwords, keys and account details pasted into runbooks.
