A HubSpot account is the record of how a company sold: every contact, deal stage, logged email, call note and the reason a deal closed or didn’t. Five of the companies we list take CRM records, and Scale, Telegraph and Maryah name HubSpot. CRM and sales records covers Salesforce.
HubSpot’s terms keep the records yours, and training is on by default
HubSpot’s terms say you own and retain all rights to your customer data. Its own AI models may be trained on it: the setting is on by default, and a Super Admin can turn it off in the AI settings at any time. Third-party AI providers HubSpot uses aren’t allowed to train on customer data. None of this affects your right to license a copy elsewhere.
Export records, then the activity, then the inbox
- Records export on every plan. Contacts, companies, deals, tickets, calls and custom objects export as CSV or Excel, with their properties and associations, by a user with export permission.
- Backups bundle every object. Starter and Professional accounts can back up once a week, Enterprise once a day, as a zip of CSV files. Associations and activity data aren’t included, so export the activity separately.
- Inbox conversations need the API. Chat transcripts and inbox data export through the Conversations API, not the settings screen.
The notes and logged activity are what show how the work was done, so export them, not just the lists.
The clocks that run out
- After a paid term ends, HubSpot’s terms say it won’t give access to customer data for the Smart CRM, free tools and the other Hubs. Canceling a paid plan first downgrades the account to HubSpot’s free tools, so the records stay until someone deletes the account.
- Marketing Hub Professional and Enterprise customers can ask in writing within 30 days of the end of the term for temporary access or copies.
- A free account is deactivated after 120 days without activity, then has 90 days to be reactivated before it’s purged.
Your customers are in every record
CRM data is mostly personal data about other businesses’ staff: names, emails, phone numbers and what your team wrote about them. Read your privacy policy for what you told contacts, strip private notes, and ask each company how it removes names and personal details before you share a sample.
