See which ones fit your companyA CRM is the history of every deal: who was contacted, what was said, what was offered and why it closed or didn’t. AI companies use it to teach models how real sales and account work gets done. Five of the companies we list take CRM and sales records.
The notes and activity are the valuable part
A list of contacts is worth little. The emails logged against a deal, the call notes, the stage changes and the reasons a deal was lost are what show how the work is done. Export the activity history, not just the records.
Salesforce: schedule the Data Export Service
Salesforce’s Data Export Service packages your data as zip files. You can run it once every 7 days on a weekly schedule or every 29 days on a monthly one. Weekly exports are only on Enterprise, Performance and Unlimited editions.
Salesforce emails a link when the export is ready, and the zip files are deleted 48 hours after that email. Download them the same day.
HubSpot: export from account settings
HubSpot’s export covers records such as contacts, companies, deals, tickets, calls and custom objects, on every product and plan.
HubSpot: the clocks that run out
- After a paid account ends, HubSpot’s terms say it won’t give you access to customer data after termination or expiration. Marketing Hub Professional and Enterprise customers can ask in writing within 30 days.
- A free account is deactivated after 120 days without activity, then has 90 days to be reactivated before it’s purged.
Your customers are in every record
CRM data is mostly personal data about other businesses’ staff: names, emails, phone numbers and notes about them.
- Read your privacy policy for what you told contacts.
- Strip private notes. Sales notes can say things about people you’d never send them.
- Ask how the company de-identifies, and read a sample after it’s done.
