A Notion workspace is where a company’s how-to lives: the onboarding pages, the runbooks, the meeting notes and the databases that track projects and customers. Five of the companies we list take it, and Turing and Scale name Notion by name.
Notion’s terms keep the content yours
Notion’s subscription agreement says the customer retains all right, title, interest and ownership of its data, and its AI page says that by default neither Notion nor its AI providers use customer data to train any models. Licensing a copy to an AI company is your call.
Export the whole workspace, not page by page
A workspace owner exports all pages as HTML or Markdown, databases as CSV and uploaded files alongside, from the workspace settings. Business and Enterprise plans can also export the whole workspace to PDF.
Two gaps to know about:
- Other people’s private pages are left out. The export covers what the exporter can reach. On Enterprise, workspace owners can give themselves access to specific pages through content search first, so those pages come along.
- Version history is by plan. Notion keeps past versions of a page for 7 days on Free, 30 on Plus, 90 on Business and without limit on Enterprise. The export carries the current version.
The clocks that run out
- Trash empties after 30 days, and pages deleted from the trash are kept a further 30 days before they’re gone for everyone.
- After the agreement ends, Notion makes all customer data available for retrieval for 30 days, then keeps terminated accounts inactive for up to 30 days and overwrites the data from production within 90 days, up to a maximum of 180.
Export before the subscription ends, not after.
What to take out
- HR pages and people databases. Reviews, salaries, health notes, anything about a named person.
- Legal advice and signed agreements with confidentiality terms.
- Client work. Pages written for a client may not be yours to license.
- Secrets. Passwords and keys pasted into runbooks.
Ask each company how it removes names and personal details before you share a sample.
