Sell your meeting recordings and transcripts to AI

Three AI companies take meeting transcripts. Where Zoom, Google Meet and Teams keep recordings, how to get them out, and the 30-day clock when a Zoom plan ends.

Recorded stand-ups, planning sessions and reviews are the closest thing to watching a company work. Three of the companies we list take meeting transcripts, and Miro Advisory takes them after a privacy review. Customer calls, with the consent rules that go with them, are on the call recordings page.

Everyone in a recorded meeting is a person with rights in what they said. Your staff handbook or meeting notice is what covers an internal recording; check what it says before you offer anything, and expect each company to ask. Zoom’s terms say it doesn’t use your audio, video, chat or transcripts to train its own or third-party AI models, which keeps the decision about licensing with you.

Zoom: paid plans record to the cloud; download before the plan ends

Cloud recording is on by default for paid Zoom accounts. Owners and admins see every user’s recordings in the web portal and can download each one, with the transcript as a separate VTT file when audio transcription is on, or pull them in bulk through the API.

When a paid subscription ends, cloud recordings stay available for 30 days and are then permanently deleted. A downgrade to a free account is worse: the recordings are out of reach unless you resubscribe within 30 days.

Google Meet: recordings and transcripts land in the organizer’s Drive

Meet saves recordings and transcripts to the meeting organizer’s Google Drive, in a “Google Meet” folder with a sub-folder per meeting, on Business Standard, Business Plus and the Enterprise editions. They export with the rest of Drive, so the Google Drive page covers how to take them out and when Google deletes them.

Teams: the organizer’s OneDrive, or the channel’s SharePoint

Teams saves a meeting recording to the organizer’s OneDrive, in a Recordings folder, and a channel meeting’s recording to the channel’s SharePoint site. A one-hour recording is about 400 MB. If no organizer had OneDrive and the upload failed, the recording sits in temporary storage and is deleted after 21 days unless someone downloads it.

Because the files live in OneDrive, they follow the organizer’s account: a deleted user’s OneDrive is kept 30 days by default, then deleted. Export recordings before you remove the people who ran the meetings. The Microsoft 365 page has the export routes.

What to take out

  • HR and legal meetings. Performance reviews, disciplinaries, anything with a lawyer.
  • Customer and candidate calls recorded without the consent the call recordings page describes.
  • Off-topic talk at the start and end of a recording, which is often the most personal part.
